Complete In-House Accounting Staff and Systems

1. Mail/Email biannual statements or upon decision by the Board
2. Electronic payment options available to all members (ACH) eliminating need for owwners to write a check for assesments
3. Distribute late notices for past due assesments and levy late fees according to the Association's Collective Policy
4. Monitor homeowner payment plans
5. Assist the Baord and its legal counsel in the enformcent and collection of delinquent accounts as proscribed in theee Association's CC&R's and Collection Policy
6. Prepare cheecks for invoices two (2) times per month
7. Assist in the preparation of the fiscal year's annual budget for revieww and approval by Board of Directors
8. Report cash flow problems to the Board
9. Prepare and distribute a Balance Sheet monthly
10. Prepare and distribute financial reports to the Board monthly
11. Prepare and distribute bank reconciliations monthly
12. Prepare an aged Associations deeelinquency list monthly
13. Association's funds depositied into their own account on average, one (1) times per week
14. Provide monthly reconciled financials
15. Assist with assets managemtn

HOA Management

Administrative Services

1. Maintain correspondence files for contractors, homeowners, etc.
2. Maintain financial data
3. Prepare escrow demands and lender certifications
4. Record changes of ownership as provided in writing to Management
5. Assist the Board in verifying that all assessments, late charges, legal fees, and special assessments are brought current for any delinquent unit that changes title
6. Maintain current homeowners, non-owner and tenant listing as information is provided.
7. Respond to correspondence received from homeowners, contractors and developer representatives, etc.
8. Coordinate with the Board and/or the Association's CPA for the timely fling of state and federal taxes and the performance of audits with auditors selected by Board
9. Distribute the audited financial reports, annual budget and reserve study to the owners of the record
10. Assist in the process of obtaining and implements a reserve study
11. Internet and E-mail access
12. Receptionist to answer telephone calls during business hours with voicemail access
13. Maintain CC&R Compliance Logs, ARCR Logs and Maintenance Logs
14. Maintain insurance information on all vendors
15. Assist in the preparation of Rules and Regulations for the Association
16. Mailing of annual/ bi-annual and quarterly invoices
17. Collection of annual assessments
18, Follow up on late & delinquent owners
19. Review of vendor invoices
20. Prepare vendor payments
21. Provide monthly income & expense reports
22. Complete monthly bank reconciliation

Property Maintenance

1. Upon request by Board, seek out and present contractors for their review and approval
2. ResCom providers several maintenance services, at a lower rate to their customers.
3. Management shall supervise contract administration within the scope and authority established and agreed to/by and between Board and Management
4. Conduct regular property inspections
5. Obtain competitive estimates for the Board of Directors consideration
6. Management shall send letters of violation or notify the Board, as applicable, of architectural and/or CC&R violations
7. Upon prior policy approval from the Board, Management shall authorize repairs and maintenance above the scope of existing contracted contractor services, not to exceed an amount determined by the Board, if applicable
8. Telephone service available 24 hours a day, 365 days per year for emergencies.
9. Weekly or bi-weekly inspections of your community depending on the needs
10. Field questions, concerns, & complaints from the residents
11. Process architectural change request
12. Solicit bids from vendors
13. Oversee vendors work
14. Arrange meetings & attend upon request from the board
15. Arrange community events
16. Work with local city agencies

Legal Consulting

1. Provide updated information regarding new community Association legislature
2. Assist the Board in preparing and enforcing the Rules & Regulations of the Association
3. Assist in securing legal counsel for the amendment of the Association's governing documents
4. Make recommendations for and initiate, if approved, legal and/or collection action in the pursuit of delinquent Association dues
5. Assist the Board in establishing policy and administrative procedures
6. Coordinate builder problems and assist the Board in determining methods and handling problems.

Meeting Organization and Management

1. Prepare notices, ballots and agendas in accordance wwith teh requirements and provision of the Bylaws for the annual meeting
2. Attend the regularly scheduled meetings of Board and the annual meeting of Association
3. Organize and assist in conducting the annual meeting of the membership and assist in the election associated with said annual meeting.
